After a buyer consultation: what to send next
Recap what you heard, name the next step, then keep it light.
You just sat down with a buyer, in person or on a video call, and talked through what they want. What you send in the next few days helps them remember you as the agent who listened. Each step works by hand, and says what Zallant does for you.
The first week, step by step
Write your notes before you drive away. Right after the meeting, jot down what they said in their own words: the areas they mentioned, the must-haves, the deal-breakers, the monthly payment they are comfortable with and when they hope to move. Details fade fast, and the recap you send tonight depends on them.
With Zallant: Add a note on the lead page. It shows in the timeline with the date, so you and your team can find it later.
Send a short recap the same day. Thank them for their time, then list what you heard in three to five short lines and ask them to correct anything you got wrong. A recap shows you listened, and it gives a couple a chance to agree on what they want before the first showing.
With Zallant: The Email button opens your own email app, so the recap goes from your address and their reply comes straight to you.
Say who does what next. End the recap with two or three clear next steps, with a name next to each: "I will send a few homes by Thursday. You will look over the buyer agreement we talked about." If you went over a written agreement, attach a copy and offer to answer questions. Your state's rules and your broker's forms decide what is needed, and when.
With Zallant: Set a call-back (Tomorrow, In 3 days, Next week or a day you pick). On that day the lead shows on Follow up today.
Send the first homes soon, and only a few. Three homes that fit beat thirty that almost fit. Add one line to each on why you picked it, using their words: "the fenced yard you asked for". Describe the homes and the facts they asked about, never the people who live in an area; fair housing rules apply to every email, and a buyer can look up schools and neighborhoods themselves.
With Zallant: When you save your follow-up emails in Zallant, the fair housing word check adds a tip if a phrase may read as who a home is for.
Make the first showing easy to book. Offer two times, or a link where they pick one. When the day is set, send a short note with the addresses, the order and where to meet.
With Zallant: Add your own booking link once, and a Book a time button shows on your page. Set the showing as the lead's appointment and you get a reminder that morning.
If it goes quiet, check in once, then give them room. Buyers often go quiet after a first meeting while they talk it over. Wait three or four days, then send one friendly line or make one short call. If they still don't answer, don't chase. Leave the door open, and keep in touch later only if they said yes to hearing from you.
With Zallant: On the call-back day, Follow up today offers a Call button that opens your own phone and an Email button with a short "Following up" note already written. Zallant never calls or texts anyone.

The same-day recap
Hi Dana and Chris, thank you for meeting with me today. Here is what I heard: three bedrooms, a yard for Max, under 30 minutes to downtown, and a monthly payment you feel good about. You would like to move by early summer. Did I miss anything? I will send a few homes by Thursday, and you will look over the buyer agreement. Any questions on it, just ask.
The first homes
Hi Dana and Chris, here are three homes that fit what you described. 22 Birch Lane has the fenced yard you asked for. 9 Harbor Street is the shortest drive downtown. 410 Elm Court needs paint but is under your number. Which ones would you like to see? I am free Saturday at 10 or Sunday at 1.
One check-in after a quiet week
Hi Morgan, just checking in after our meeting last week. No rush at all. If your plans have changed, or you would like to start with a different area, let me know and I will adjust.
Every name and address here is made up.
What to leave out
- A long list of homes. Three good matches start a conversation; thirty start a scroll.
- Pressure. Words like "act fast" or "this won't last" make a careful buyer step back.
- Opinions about who lives where. Share the facts they asked for about the homes, and let them judge areas.
- A gift or a payment for choosing you or for a referral. Thank people with words; your state's rules and RESPA may apply.
Other questions agents ask
- They just reached out and you haven't met yet? What to say to a new lead first
- You showed them homes. What next? After the showing: 3 emails
- They decided to wait a year? Stay in touch without being a pest
- Thinking of hosting a class for first-time buyers? First-time buyer seminar playbook
